For Organizations

Automated reminders are sent when an action is required. For example, suppose someone doesn’t complete their profile, accept a mentoring invitation, or accept a meeting invitation. In that case, we will send them a series of emails until they complete the action. The platform typically sends three reminders.

For custom software development and integrations, we will schedule a call to discuss your needs and also explore no-cost workarounds with our current offering. If there are no suitable workarounds, then we will provide you with a project scope, an estimate, and project timelines.

Upcoming events can be displayed in our events section and also promoted on the dashboard.

Participants will set the typical time and days that work for meetings. They can also sync their Google Calendar or Microsoft Outlook calendar.

We have a standard process that works for most programs because it incorporates all the best practices from our mentoring programs that we have observed. This allows you to launch your program quickly. The platform is also highly flexible, allowing for the incorporation of other processes through customization of profile fields, dashboards, resources, and the steps to take. We have pre-built content to support participants in advancing their competencies to the next level, as well as a leadership series. 

Our standard process is:

  1. Members will complete their profile
  2. They will get matched to a mentoring partner
  3. Say hello to each other through our message hub
  4. Schedule their initial mentoring meeting
  5. When on the call, they will complete their mentoring agreement
  6. The mentee will set goals, and they will collaborate on them
  7. At the end of the relationship, they will both complete a program evaluation

Our messaging, resources, courses, and dashboards keep employees on track throughout the relationship by providing them with content and structure, such as discussion topics and clear objectives.

Yes, during our regular check-in meetings, we would love to hear your feedback. When we first receive feedback, we determine whether you can accomplish what you are seeking with our current functionality. If not, we add it to our project management software for consideration. If there’s feedback that’s unique to your needs, but can benefit all programs, then we may send you a quote to fast-track this development.

Content can be displayed and segmented based on specific audiences. You can segment content in our resources and courses section. You can also create Spaces for specific audiences. Spaces are smaller communities within the larger community where your members can collaborate and learn from each other.

Over the years, we have built greater flexibility into the platform, enabling many areas to be configured to your unique needs. We built several integrations with Salesforce, Stripe, Zoom, Google Maps, Google Calendar, Microsoft Outlook Calendar, and Eventbrite, and developed custom integrations using our API.

We take data security and privacy seriously. We haven’t had a data breach since we started in 2011. Personally identifiable information on the platform is first name, last name, and email address. We adhere to GDPR standards as outlined in our privacy policy. https://www.mentorcity.com/privacy-policy/. We encrypt data in transit and at rest.

We will guide you on data migration and system configuration. A program administrator can complete data imports, exports, and configurations.

We conduct annual third-party vulnerability and penetration testing.

We have a business continuity plan, and our data centre has a disaster recovery plan.

We offer survey capabilities that allow you to send out surveys at any time and embed them throughout the platform, including in the courses and resources sections. We also have a program evaluation that’s completed at the end of a mentoring relationship. Surveys and program evaluations are reported on the same line of a CSV/Excel file to help you more easily see a participant’s growth throughout the program. You can analyze survey results by person and by question.

We offer a dedicated account manager. During the setup phase, we will schedule weekly meetings, and once the program has been launched, we will transition these to monthly check-in meetings. We are also available by email and phone throughout the agreement.  

We can configure a single sign-on with SAML or OAuth/OIDC. And, we can enable two-factor authentication.

We provide encryption in transit and at rest. Data in transit is encrypted using HTTPS with high-grade ciphers over TLSv2+. Data is encrypted at rest in the production VPC environment.

We support role-based access controls for the following roles:

  • The main program administrator can add/remove admin access, and their email address is used for member support.
  • Program administrators can oversee the program and configure the setup
  • Member/relationship administrators can be assigned members and/or relationships that they are overseeing. They only see the data related to these members and relationships.
  • Members are the program participants, mentors, and mentees, and we can add a third role if needed, such as mentor coach.

Overall program engagement is tracked in our statistics section, displaying key metrics.

We offer meeting scheduling with reminders (app push notifications, email, and text). When scheduling a meeting, we consider participants’ availability (when they sync their calendars), preferred meeting times, and time zones to find a time that works for everyone.

 

Our events section allows for tracking registration. Attendance can be tracked when using our video conferencing functionality.

Over 14 years of experience providing our mentoring software to a range of organizations, including non-profits, the education sector, governments, and the for-profit sector.

Our goals functionality allows participants to set goals, subgoals, set deadlines, prioritize goals, and collaborate on them. When a goal is achieved, it can be checked off. We have a series of notifications sent to help participants move forward in achieving their goals.

Over the past 365 days, our platform has maintained 99.991% uptime, ensuring high availability and reliable performance for all users.

The admin dashboard makes setting up and managing your program easier. 

In our members’ section, you can search for members, view their last activity date/time, edit their profile, see their overall engagement, and activate/deactivate their accounts. 

In our relationships section, you can view all relationships, their current status, the number of meetings, hours spent, completed mentoring agreements, and program evaluations. 

In the Manage Messages section, you can send messages to specific audiences, review system-generated emails, view email logs, and utilize message filtering functionality. 

In the Content section, you can customize the consent page, mentoring agreement, courses, resources, events, content categories, medals and badges, archives, member dashboard (settings, sponsors, custom widgets, and announcements), and the relationship dashboard (settings, step settings, custom widgets).

In the Profiles and Feedback section, you can customize/add profile fields, industries, functions, competencies, specialized skills/development areas, the maximum number of mentees/mentors, deactivate members, and provide feedback (including program evaluations and surveys).

Upload a CSV file to deactivate several members accounts at the same time. You can also deactivate members one-by-one in the Members section.

When you deactivate members, all their information is retained. They won’t be able to log in to use the services, though.

Suppose you request that specific members be Permanently Deleted. In that case, all the information is permanently deleted from our servers, the admin dashboard, and downloadable reports – the member records can’t be restored. The following information is deleted:

Profile
• Name
• Email address
• Country, state/province, and city
• Time zone
• Languages spoken
• Gender
• Professional summary/bio
• Specialized skills
• Development areas
• LinkedIn, Twitter and Skype IDs
• Employment experience (company name, industry, job title, job function, start, and end date

All Mentoring Relationships that the members were in will also be deleted. Please note that the Relationship will also be deleted from their mentoring partner (even if that member still has an active account in MentorCity):

We collect customer feedback on an ongoing basis during meetings and through email. Custom feedback is added to our project management software, and we prioritize it if we hear similar feedback from multiple customers.

We received client feedback while attending a conference, and within a month, we have already implemented three feature enhancements based on the feedback that we received.

Participants can sync their Microsoft Outlook calendars, sharing only their available time slots without disclosing any additional information about their calendar items with the platform. Organizations can sync their Microsoft Teams account, which creates Microsoft Teams video conferencing links for participants to have their meetings. 

Your members can either click on a registration link, be imported into your mentoring program, or use single-sign-on (SSO).

They will then be able to complete their profile by selecting their role, the skills they would like to develop and/or those in which they are already strong in, and other information that will aid in the matching process. 

We offer self-directed matching, where your members can search for a mentor or mentee, and admin-matching, where administrators make the matches. Program administrators can choose one method over the other or use a combination of both methods. For self-directed matching, the invitation receiver must accept the invitation, and for admin matching, the relationship is established. Participants will receive emails and push notifications letting them know about the matches. 

Members will communicate with their mentoring partners by exchanging messages on the platform. They will set their availability and sync their Google or Outlook calendar, schedule meetings, complete a mentoring agreement together during their first meeting, collaborate on goals, and check them off once achieved. At the end of the relationship, they will complete a program evaluation discussing how they have grown as a result of the relationship. 

Our message hub syncs with all communication across the platform, whether it’s a one-to-one relationship, group mentoring, or a discussion; messages are displayed. They can be responded to in our message hub. This creates greater program engagement, as it’s easy to keep up with the unread messages. We also sync the messages entered when chatting in our built-in video conferencing, ensuring that participants can continue the conversation without having to start from scratch. 

We have a presence indicator to show you if the person you are communicating with is also within the message hub section. There is the ability to like messages, reply to messages, attach files, see when someone is typing, and see when a message has been read. 

Messages are sent to the recipient after 5 minutes if they haven’t been read via email and push notification (if the recipient has the app). This sends messages in the same email instead of sending several separate messages.

Self-directed (mentees can search for a mentor, and mentors can search for a mentee). The top mentors will be displayed based on a compatibility rating, search rules set, and the criteria met. Mentees can refine the search criteria based on the skills they want to develop. For example, a mentee can search for a mentor who can help them with their leadership skills and is part of the Black Employee Resource Group.

We also have the capability for admins to make matches on behalf of their members. Speed Match is our form of bulk matching, displaying the top mentee for their top mentor. You can decide whether it’s a good match, and then it reshuffles people who still need to be matched during the next round of speed matches. Another admin matching feature is Matching Members. It will display the available mentees – you can enter a mentor’s name or conduct searches for the mentee. 

Our matching algorithms compare competencies that a mentee would like to develop to the areas where the mentor is strong. We also consider the number of search criteria the mentor meets. Program admins can create profile fields such as employee resource groups, values, and seniority levels, and create strong search rules (a level one employee needs to be matched to a level two employee) or allow the platform to consider certain profile fields when recommending matches.

MentorCity’s reporting suite is designed to give program administrators full visibility into both participant activity and overall program health. Data is updated in real-time, enabling CBS to identify trends such as the top development areas and whether there are enough mentors who have expertise in these areas, measure engagement, and connect data to demographic information.

Administrators can generate customized reports directly within the platform. These reports can be filtered by role, custom profile field responses, date ranges, recent activity, and current relationship. Administrators can further customize the report by selecting the columns they would like to download in the CSV/Excel files.

Our program statistics section provides an overview of the program’s milestones overall, including the number of available mentors and mentees, profile completeness, goals set/achieved, mentoring agreements completed, meetings booked, and video conferencing calls. 

We provide insights into who is viewing specific resources, courses, and events. 

Our member statistics section offers a series of exportable charts (CSV, PDF, and Copy/Paste), organized into the following categories: overall, relationships, activities, skills, capacity, and job functions. You can create charts on demand with custom fields that you have created. For example, let’s say you would like to compare employee levels and the employee resource groups to which they are affiliated. You can generate a chart based on these custom fields, and we will also deliver other charts that we think you will find helpful. 

Our members and relationships sections offer the ability to filter the people or relationships you would like to report on. Then you can select the columns you would like to download in the CSV/Excel file.  

We also have several comprehensive reports that you can download, including those on members, relationships, meetings, program evaluations, and surveys.

You can launch a mentoring program relatively easily within a few hours because MentorCity’s out-of-the-box offering has everything set up based on best practices and then you can configure the platform based on your needs and program setup.

When you take advantage of our 14-day free trial, we suggest that you use the first week to customize the platform and the second week to fully experience the platform firsthand.

The current version of the MentorCity platform has been in production since 2011 and continues to evolve through ongoing enhancements and feature updates.

There is no implementation cost for our standard out-of-the-box offering. Our licensing tiers are based on the number of users who can log in and access the platform.

Monthly check-ins can be scheduled as platform events. You can create a series of surveys and send them through our messaging functionality, include them as announcements, embed them in dashboard widgets, and display them in the resources and courses sections.

Notifications are sent via email and push notifications. Administrators can turn on/off notifications for their program. Participants can also set their notification preferences. Notifications are also received on the platform in the notifications section.

You can hide existing profile fields and create new profile fields, such as spiritual and career goals.

Role-based permissions can be set for the main program administrator, program administrations, member/relationship administrators, and members (mentees, mentors, mentor coaches).

The platform is designed to scale easily across multiple programs. You can scale based on the number of users accessing the system, and create and manage an unlimited number of programs without affecting performance.

MentorCity’s cloud-based architecture is designed to scale seamlessly as program and user volumes grow.

Participants can message one another through our message hub. Messages can be sent for one-to-one relationships, group mentoring, discussions, and our spaces functionality, which builds community and collaboration.

 

Your members can create accounts with passwords through an invitation/registration link and/or they can be imported into the platform. Also, Single sign-on (SSO) can be set up for your program.

Once a member registers, they will consent to your policies and will be taken to the profile section.

We support program administrators every step of the way throughout our agreement with you. Our support and training are included within our licensing fees.

You can track scheduled meetings and meeting feedback, video call durations, the number of meetings, and the number of hours per relationship on the platform.

 

MentorCity offers a library of resources for your mentors/mentees and administrators to review all platform aspects. These include downloadable, customizable documents that can be branded with your company’s language. We also have video walkthroughs of many platform aspects with easy-to-follow instructions.

MentorCity also offers the free online course “From here to there in 90 days.” This course can be taken at any time and added to your program. It provides training on how to be the most efficient Mentor and Mentee.

Our typical implementation process is 4 weeks, during which we meet with the program administration team weekly and guide them through the setup phase.

For any custom work, such as integrations, we will provide you with a cost and time estimate.

If you decide on single sign-on, it will be implemented during the initial 4-week process, working with your IT team.

We continually innovate to stay ahead of your evolving needs. Our product roadmap includes AI-driven features such as automated meeting summaries to save participants’ time and keep them on track with their commitments, enhanced matching capabilities, action-oriented responses to frequently asked questions, prompts to ensure that every mentoring relationship and program is successful, and guidance that complements mentoring relationships.

We recently launched Spaces, which took our group mentoring and discussions features to the next level. Spaces provide personalized areas where members can build communities around their areas of expertise. They can have discussions, share resources, courses, events, and media within a single space. There are so many exciting use cases for our Spaces functionality, such as spaces for Board Members, Committees, study groups, and mentors networking with one another.

We continue to build our survey functionality by adding more ways to download data and generate graph results. Our survey functionality and program evaluations enable you to report on participant growth, hear how participants will integrate lessons from course content, monitor participants’ daily moods, and allow participants to journal their experiences.

We also constantly work on implementing new designs that include more features as we move to bring more social media best practices to the platform in a safe and inclusive community.

We will email the main administrators if there is a significant outage that requires troubleshooting. Through the platform, we communicate release notes and announcements in our notifications section.

We train program administrators to use the platform and configure it to meet their needs throughout the setup phase and throughout the entire contract. We are also here to help onboard new program administrators, as roles may shift at your organization.

We help co-facilitate orientation sessions for your members (mentees and mentors). While your team will provide an overview of the program and how it works, we will give a short demo of how to use the platform.

Our Building MentorCity guide provides tools, templates, and best practices for mentoring programs. We also have a series of training resources for your mentees and mentors on using the platform and leveraging every mentoring conversation.

We will meet monthly to discuss best practices for engagement and mentoring programs. We will respond via email and phone to any questions and technical issues that may arise. We will also attend your participant (mentee and mentor) training sessions to provide a platform demo.

MentorCity offers tools and templates that guide participants throughout the relationship, help them understand their roles, and how to be effective in them. Some of the resources include:

You will be assigned an account manager who will work with your administrative team weekly to ensure the system is configured correctly for the program you want to run. The 4-week plan typically consists of the following:

Week 1- Getting you to think through the program, how you envision it operating, and the user flow.

Week 2 – Start building the program with the guidance of your dedicated account manager.

Week 3-4 – Testing your program and making changes before the launch.

After launching your program, we set up monthly check-in meetings, and you can contact your account manager with additional questions or user support issues. Within MentorCity, there is a “Help and Feedback” section that your members can utilize if they have any issues with the system or the program. This goes to your dedicated account manager and your Main Administrator. MentorCity will collaborate with your administrative team to address your members’ questions and concerns. 

Your account manager will also help you organize an Orientation Training Session that you can invite your members to. They will guide your members on how to use the platform and address any questions they may have.

An active user is someone who can log in and access the platform and its services (connections, spaces, resources, events, video calls, etc.). They also receive emails from the platform.
You can make someone inactive in the Members section of the admin dashboard. When you do this, their information is retained, but they no longer have access to the platform, services, and email.
Active users are included in our licensing tiers, and you don’t pay for users marked as inactive.
