Mentoring Software for Medical Associations and Specialty Societies

MentorCity is mentoring software for medical associations that gives specialty societies, state and county medical societies, and nursing and allied health associations a way to offer mentoring to members without asking a physician volunteer to run it from a spreadsheet. Members sign up with their specialty, training stage and practice setting, get matched, meet by video or phone, set goals and answer short surveys, and your staff and committee see all of it in one dashboard. Every program comes with a dedicated account manager, pricing set for associations, and a free 14-day trial your board of trustees can log into before it votes.

Why Medical Associations Put Member Mentoring on a Platform

A medical student deciding between internal medicine and anesthesiology. A PGY-2 resident weighing fellowships. A surgeon two years into an employed contract that is not working out. Each of them has a question a colleague in the same specialty could answer in twenty minutes, and your association already has those colleagues on its member list. Mentoring is how you put the two together, and it is one of the few member benefits a trainee will bring up when someone asks why they joined.

The problem is time. The people who make the best mentors are practicing clinicians with clinic, call and charting, and the committee running the program is usually made up of the same people. Requests come in through a web form and sit in a staff inbox. Matching waits for a committee meeting that keeps getting moved because someone is on call. Six months later, nobody can say which pairs actually met, and the report to the board is a paragraph of anecdotes.

Our medical association mentoring software handles sign-up, matching by specialty and career stage, scheduling around clinical shifts, check-ins, surveys and reporting in one place. Your committee approves matches instead of building them by hand, members reach their mentor from a phone between patients, and the figures your board asks for, such as active pairs, meetings held and hours logged, come straight out of the platform.

Range Of Competencies - MentorCity

Medical Association Mentoring Programs You Can Run on MentorCity

Développer Les Compétences En Leadership - MentorCity
Mentoring as a Membership Benefit for Physicians and Clinicians

Dues are a hard sell to a resident carrying loans, or to a new attending who is already paying for a license, board fees and hospital credentialing. A mentoring program gives them something specific in return for membership: a named colleague in their specialty who will pick up the phone. On MentorCity, a new member can request a mentor in their first week, and senior members, including those who have stepped back from clinical work, get a structured way to stay useful to the society. Renewal is an easier conversation when the member can name the person who helped them.

Connecter Les Professionnels - MentorCity
State, County and Regional Chapter Programs

Medical associations are often layered: a national specialty society with state chapters, or a state medical society with county societies underneath it. MentorCity lets each chapter run its own program inside one account, with its own sign-up questions, matching rules and reports. A county society can match members locally, which matters when a mentee wants someone who knows the area's hospitals, payers and referral patterns, while the state or national office sees participation across every chapter in a single report.

Recrutement Des Membres - MentorCity
Medical Students and Residents Choosing a Specialty

Specialty choice and the residency match are high-stakes decisions that students often make after only a few weeks in the field. Student and resident sections use MentorCity to connect trainees with practising physicians in the specialty they are considering, including mentors at other institutions when their own school has nobody in that field. Mentees can search by subspecialty and practice type, ask about away rotations, letters and interviews, and keep the relationship going into residency instead of losing touch after Match Day.

Transfer Knowledge Efficiently - MentorCity
Early-Career Physicians Moving Into Practice

The first years after training bring questions residency never covered: how to approach a first contract negotiation, whether to choose academic, private or employed practice, how to build a referral base or start a research line, and whether a job that looked right on paper is worth staying in. Early-career sections can match physicians in their first years of practice with members five to fifteen years ahead of them, use mentoring agreements to set a twelve-month timeline, and offer short "flash" pairings for one focused question when a full-year commitment is more than the member needs.

Women in Medicine and Surgery

Women are now the majority of U.S. medical school graduates, yet AAMC data shows they hold about a quarter of department chair positions. Women-in-medicine sections and surgical societies use mentoring to work on that gap one career at a time: preparing members for promotion, negotiation and leadership roles, and for the decisions around training length and family timing. On MentorCity you can match by specialty, career stage and goals, run a separate women-in-leadership track with its own reports, and add group mentoring circles where several mentees learn from one senior member.

Underrepresented in Medicine and DEI Committees

Associations for Black, Hispanic and Indigenous physicians, and committees working on representation inside larger societies, use our medical association mentoring software to give students and trainees access to mentors and sponsors they may not meet at their own institution. You set the matching criteria, combine one-to-one pairs with group mentoring circles, and report participation and outcomes by program, so the work can be shown to your board and your funders with numbers rather than impressions. MentorCity also supports this work outside its software and donates each year to Black Mentorship Inc.

Intelligent Matching - MentorCity
International Medical Graduates

International medical graduates make up roughly a quarter of practicing physicians in the United States. Many arrive with strong clinical training and nobody to explain how residency applications, licensing steps or day-to-day practice culture actually work here. A dedicated IMG program lets your association pair them with members who went through the same process, sometimes from the same country. Matching can take country of training, specialty and time zone into account, and built-in video lets a mentor in Ohio support a mentee who is still preparing applications overseas.

Conservation Mentoring Programs - MentorCity
Board Certification and Exam Preparation

Licensing exams, specialty boards, recertification and nursing certification are where members most want to talk to someone who passed recently. In MentorCity you can tag mentors by certification and the year they earned it, open an exam-prep program next to your main one, and keep study guides and recorded review sessions in the resource library. Mentees can book a short call in the weeks before a test date rather than waiting for the next monthly meeting.

Expanded Perspectives & Opportunities - MentorCity
Nursing, Allied Health and Advanced Practice Associations

Nurse practitioner, physician assistant, nursing specialty, pharmacy and allied health associations face their own version of the same gap: new graduates stepping into high-pressure roles while experienced members retire. MentorCity supports transition-to-practice mentoring for new graduates, mentor development for experienced members, and pairing across care settings, so a member moving from inpatient to outpatient work, or from the bedside into management, can learn from someone who has already made that move.

Committee and Society Leadership Development

The resident who joins a committee this year could be chairing your house of delegates in fifteen. Associations that want a steady supply of future officers can use the same platform to pair new committee members and delegates with past presidents and long-serving trustees, so they learn how policy, advocacy and governance really move inside the society. It also helps new volunteers stay involved after their first term instead of fading out after one meeting cycle.

2149173780
Physician Well-Being and Peer Support

The AMA found that 43.2% of physicians reported at least one symptom of burnout in 2024. That is better than the years before it, but it is still a large share of any membership. Peer mentoring does not replace clinical care or a physician health program. What it does is give members a colleague who understands the call schedule, the inbox and the case that stays with you on the drive home. Peer circles and discussion spaces on MentorCity keep members in touch between meetings, and admins can post well-being resources where members already are.

Match by Specialty, Training Stage and Schedule: Your Committee Decides How

Medical associations do not all pair members the same way, and our mentoring software for medical associations supports more than one approach.

Some societies let members browse mentor profiles and send a request themselves. This takes very little committee time, and a resident who picks a mentor in their chosen subspecialty tends to show up for the calls. To protect your most requested mentors, such as a well-known program director, you can cap how many mentees each mentor accepts.

Other associations want the committee to approve every match, especially for medical students, where a poor first pairing can turn someone away from a specialty. On MentorCity you can keep registration open with member search switched off, so nobody sends requests early, and leave trustees and committee chairs out of the mentor pool until you need them. When registration closes, Speed Matching proposes pairs using the rules you set: same or different specialty, academic or community practice, career stage, and availability that fits clinical schedules, such as early mornings or post-call afternoons. The committee reviews the list, swaps any pair that will not work in practice, and confirms them in one sitting.

You can also run both at once, for example self-directed matching for attendings and committee-approved matching for students.

Built for Societies Whose Volunteers Are Also on Call

Most medical association mentoring programs are run by a small staff and by physicians who fit committee work around clinic and call. We built our medical association mentorship platform, and the way we support it, around that reality.

Associations on MentorCity have opened mentor matching about eight weeks after signing, with the whole program run by volunteers. Setup calls with our team can be booked before morning rounds or in the evening, so a committee chair does not have to give up a clinic session to attend.

When questions come in on a weekend, which is when a lot of physician volunteers catch up on society work, our support team usually answers the same day, often with a short screen recording that shows exactly where to click.

Your dedicated account manager can take on the setup work that would otherwise land on someone’s day off: writing sign-up questions around specialty, training level and practice setting, importing your member list, loading your specialty and subspecialty lists, and carrying profile fields, surveys and your consent page forward from one academic year’s cohort to the next.

How to Choose Mentoring Software

A Trial Your Board of Trustees Can Log Into

Medical association boards rarely approve a new member program from a slide deck, and most want to see how it handles member privacy before they vote. MentorCity’s free 14-day trial lets your staff liaison, committee chair and a few trustees log in with their own accounts, run a test match, send messages and join a video call. If your next board or council meeting falls after the trial ends, tell us the date and we will extend it so directors can try the platform first. Pricing for medical associations and their chapters is based on the number of participants, so you can give the board a clear figure for launch and know what the cost looks like as the program grows.

What Our Medical Association Mentorship Platform Includes

  • Matching that fits your society: member-led, committee-led, or a mix of both, based on the sign-up questions and rules you write. With committee-led matching, admins review every pair before it is confirmed.
  • A separate program for each chapter, section, specialty track or cohort, each with its own matching rules, surveys and reports, all in one account.
  • Messaging, discussion forums and built-in video calls, plus optional AI notetaking that summarizes each meeting for the mentor and mentee only.
  • Mentoring agreements that cover program length, how often pairs meet and what they are working toward, with automatic pulse surveys, monthly discussion prompts and evaluation requests.
  • Mid-program and end-of-program surveys you write yourself, with responses you can export to a spreadsheet for your committee or board.
  • Goal setting and progress tracking for each pair, with logged meetings and mentoring hours.
  • Group mentoring and Collaboration Spaces for trainee cohorts, sections, interest groups and peer support circles.
  • Courses, events and a resource library for mentor training, recorded webinars and exam-prep material.
  • Dashboards and custom reports you can export for trustees, chapter leaders, grant funders and your annual meeting.
  • iOS and Android apps, English, French and Spanish, and your association’s own branding.
  • Integrations with Zoom, Microsoft Outlook Calendar and Teams, and Google Calendar, two-factor sign-in, and single sign-on (SAML, OAuth) on the Enterprise plan.
  • Lexa, an AI mentor members can talk to between meetings, and AI Admin, which reports on program health and drafts member messages for your team to review and send. People make every decision, and AI Notetaker helps each pair follow through on what they agreed to.

Build Your Organization - MentorCity

FAQ:

Yes. You can run as many programs as you need under one MentorCity account, for example one per state or county chapter, a medical student program, a resident and fellow program, an early-career track and a women-in-medicine track.

Each program has its own sign-up questions, matching rules, surveys and reports, so chapter data stays separate while the national office can see all of it. When a new academic year starts, we copy your profile fields, surveys and consent page into the next cohort so nothing has to be rebuilt.

Mentors and mentees list their availability when they sign up, and matching can use it, so a hospitalist on night rotation is not paired with someone who can only meet at noon. Meetings are booked inside the platform, sync to Microsoft Outlook or Google Calendar, and can be made from a phone. Mentoring agreements let each pair settle on a pace they can keep, such as one 30-minute call a month, instead of a schedule designed for people with office hours.

Yes. You can hide board and committee members from member search and from Speed Matching suggestions, import them without a mentor or mentee role so they do not receive participant surveys, and add them to the pool later if you run short of mentors.

Pricing is based on the number of participants in your program. A society launching with 100 participants would sit in the 51 to 150 participant tier, and the price moves up a tier as the program grows.

Associations receive association pricing, and every plan includes a dedicated account manager. Book a free demo and we will give you a figure for your size that you can take to your board.

Yes. The free 14-day trial lets you invite a few mentors and mentees, run a test match, send messages and hold a video call, and trustees or committee chairs can have their own logins. If your board meets after the trial ends, send us the meeting date and we will extend the trial so directors can see the platform before they vote.

MentorCity is a mentoring platform, not a clinical system, and it is not meant to hold patient health information. Conversations about clinical judgment are a normal and valuable part of medical mentoring, and we recommend that associations ask members to keep any case discussion de-identified, the same way they would at a conference or journal club. Many societies put this into their mentoring agreement or code of conduct, which we can load into the platform during setup.

The platform records every match, confirmed meeting, logged mentoring hour and survey response. Medical associations usually report active mentors and mentees, relationships formed, meetings held, hours logged and satisfaction from mid-program and final surveys. You can add questions of your own, such as whether a student is clearer on their specialty choice or a resident feels better prepared for fellowship applications, and export the results for your board, chapters, grant funders or annual meeting.

Yes. MentorCity has iOS and Android apps, so a resident can answer a mentor between cases and a rural physician can join a video call without sitting at a desk. Everything done in the app is recorded on the same platform your staff use, so your reports stay complete.

Only the mentor and mentee in that meeting. AI notetaking is turned on per call by the participants who want it, and the summary and next steps it produces are visible to the two people in that relationship. Administrators can be given access to meeting recordings for program oversight, and that access can be switched off on request. Physicians often talk with mentors about career moves, conflict at work and their own well-being, so we kept these notes private on purpose.

Member data is hosted in Toronto, Canada, at a SOC 2 Type II data centre, which means an independent auditor has reviewed its security controls. Data is encrypted in transit with 256-bit SSL and encrypted at rest, and it is backed up daily. Our privacy policy has the full details, and we are glad to answer your compliance team's questions during a demo.

Yes. Programs can be private-labelled with your association's name, colours and logo, and chapters or sections can use their own program names and logos. We will show you the options during your demo.

Yes. MentorCity works with built-in Zoom (including whiteboard), Microsoft Outlook Calendar and Teams video, and Google Calendar. Single sign-on (SAML and OAuth) is available on the Enterprise plan, which, depending on how your member portal is set up, can let members sign in with the credentials they already use. See our integrations page for the full list.
