Mentoring Software for Associations and Its Chapters

MentorCity is mentoring software for associations that lets a small team, often a volunteer one, offer mentoring as a membership benefit without spreadsheets or extra staff. Member sign-up, mentor matching, meetings, goals, surveys and board reporting sit in one place. Professional associations such as PMI Chicagoland, CPHR BC & Yukon, Women in HVACR, Women Leaders in Pharma, and Supply Chain Canada run member mentoring on MentorCity, and every program comes with a dedicated account manager, association-friendly pricing, and a free 14-day trial your board can try for itself.

Why Associations Run Member Mentoring on Software

Members join an association for connection and career growth, and they renew when they can feel both. A mentoring program is one of the few benefits that delivers them directly. The catch is that it has to be run, and in some associations and their chapters, that work falls to a committee or a volunteer director who does it after their day job.

Hand-run programs break in the same places every time. Sign-ups come in by email. Matching happens in a spreadsheet over several weeks. Nobody knows which pairs are still meeting. And when the board asks what the program achieved, the answer is a guess.

Our association mentoring software puts registration, matching, scheduling, check-ins, surveys and reporting on one platform, so the people running your program spend their evenings on members, not on admin. Members get a mentor quickly, meetings keep happening, and your board gets real numbers and results.

Range Of Competencies - MentorCity

Association Mentoring Programs You Can Run on MentorCity

Développer Les Compétences En Leadership - MentorCity
Mentoring as a Membership Benefit

Give members a concrete reason to join and to renew. A member mentoring program on MentorCity lets new members request a mentor in their first week, and lets experienced members give back in a structured way. Associations use it to raise engagement among early-career members, keep long-standing members involved, and show prospective members a benefit they cannot get from a newsletter.

Connecter Les Professionnels - MentorCity
Chapter Mentoring Programs

National and regional bodies with chapters can run a separate program for each chapter inside one account, each with its own sign-up questions, matching rules and reports. Chapter volunteers manage their own members, the national office sees the whole picture, and a chapter that wants to run a spring cohort and a fall cohort can copy its setup from one to the next instead of rebuilding it.

Recrutement Des Membres - MentorCity
Connecting Professionals Across Industries

Members of a professional association work for many different employers. Mentoring across those employers is something no single company can offer, and it is one of the strongest things an association can. Our mentoring platform for associations lets members match on industry, specialty, years of experience, and availability, so a member in a small firm can learn from a peer at a large one, and a member in one region can be paired with a mentor in another.

Transfer Knowledge Efficiently - MentorCity
Women's Associations and Women in Trades

Associations for women in business, finance, engineering, energy and the skilled trades use mentoring to help members move into leadership and stay in fields where they are still a minority. Women in HVACR runs its member mentoring on MentorCity, and its board has pointed to how easily members find their way around the platform. Matching can be based on career stage and goals so each member is paired with someone who has walked the same road.

group mentoring
Black Professional Associations and DEI Programs

Associations serving Black professionals, and committees running diversity, equity, and inclusion (DEI) programs inside larger associations, use our association mentoring software to connect underrepresented members with mentors and sponsors who can open doors. You choose the matching criteria, run group mentoring circles alongside one-to-one pairs, and report participation and outcomes by program so your DEI work is measured, not assumed. MentorCity also supports this work beyond its software and donates each year to Black Mentorship Inc.

Credit Union, Banking and Finance Associations

Credit unions, banking and finance and accounting associations use mentoring to build the next generation of branch managers, lenders, risk leaders and CFOs. Members can be matched by specialty, credential and seniority, and your association can run a leadership track, a new-professional track and a women-in-finance track as separate programs with separate reports. Data is encrypted in transit and at rest and hosted in Canada, which matters to members who handle financial information for a living.

Intelligent Matching - MentorCity
Contractor and Trades Associations

Associations of contractors, builders and trades businesses have members who are owners first and learners second, with little time for classroom training. Mentoring fits them. Pair a first-time business owner with a contractor who has run a company for twenty years, let them meet on their phones between jobs, and track the conversation with mentoring agreements and goals. Our association mentorship platform works on iOS and Android, so a mentor can answer a question from a job site.

Conservation Mentoring Programs - MentorCity
Disaster Recovery and Emergency Management Associations

Associations for disaster recovery, business continuity, and emergency management professionals carry knowledge that is learned on the job and lost when experienced members retire. A member mentoring program on MentorCity keeps it moving to the next generation. Members can match on hazard type, sector, and certification goals, meet by built-in video across regions, and keep notes and resources in one place that the association, not an individual inbox, owns.

Expanded Perspectives & Opportunities - MentorCity
Certification and Exam Preparation

Many associations exist around a credential. Student and early-career members preparing for a professional exam want access to someone who has already passed it. One project management chapter using MentorCity saw student members join specifically to reach mentors ahead of their certification exam. Mentoring software for associations lets you flag mentors by credential and open a dedicated exam-prep program alongside your main one.

Volunteer Leader Development

Associations run on volunteers, and the committee chair of today is the board member of tomorrow. Use the same mentoring platform for associations to pair newer volunteers with experienced leaders so they learn how the association really works, build confidence, and stay involved longer.

Well-Being and Peer Support

Connect members with peers who provide encouragement and perspective through career changes, layoffs, burnout and the first year in a new role. Peer mentoring circles and discussion spaces keep members talking between meetings.

Self-Directed or Admin-Led Matching: Your Association Decides

Associations do not all match members the same way, and our mentoring software for associations does not force one method.

Some associations want members to browse mentor profiles and request a match themselves. That takes almost no volunteer time and members commit more to a mentor they chose. One association chapter on MentorCity runs self-directed matching with a cap of two mentees per mentor, so popular mentors are not overwhelmed.

Other associations want their committee to make every match, especially when mentors sign up slowly and the committee wants the full pool before pairing anyone. On MentorCity you can keep registration open, turn off member search so nobody self-invites early, and keep your leadership team out of the mentor pool until you need them. When registration closes, Speed Matching suggests pairs based on your rules, such as availability (weekday evenings, say) and whether a member wants a mentor in the same industry or a different one. Your committee reviews the suggestions, swaps any pair that does not fit in real life, and confirms. One chapter leadership team that used to spend weeks matching by hand now finishes in one evening meeting, with matches it is happy with.

Association Mentoring Programs You Can Run on MentorCity

Most association mentoring programs run on volunteers who give their time after work. We built our mentorship software for associations, and the way we support it, around that fact.

One project management association chapter that chose MentorCity signed its licence in April and opened mentor matching in June, about eight weeks later, with the whole program run by a volunteer director and two volunteer coordinators who met with our team in the evening because the daytime belonged to their paid jobs.

Another chapter’s leadership team does most of its program admin on weekends, and our support answered the same day, often with a short screen recording showing exactly where to click.

Your dedicated account manager can handle the parts that would otherwise eat a volunteer’s weekend: setting up your sign-up questions, importing your member list, updating competency lists, and copying your profile fields, surveys, and consent page from one cohort to the next.

How to Choose Mentoring Software

A Trial Your Board Can Try for Itself

Buying mentoring software for associations usually needs a board vote, and boards approve what they have used, not what they have seen on a slide. MentorCity offers a free 14-day trial, and when a chapter needs the trial to run past its next board meeting so directors can log in and join a video call themselves, we extend it. One chapter’s VP received his own trial login, the board tested the platform, raised a question about video and sound quality, tried the video conferencing, and signed. Pricing for associations and chapters is based on the number of participants in your program, so you can bring your board a clear figure for the size you are launching with and know what it will cost as you grow.

What Our Association Mentorship Platform Includes

  • Mentor matching your way: self-directed, admin-led, or both, using the sign-up questions and matching rules you set. For admin-led matching, admins preview every match before it goes live.
  • Separate programs for each chapter, cohort or track, with their own matching rules, surveys and reports, all under one account.
  • Messaging, discussion forums and built-in video calls, with optional AI notetaking that writes up each meeting for the two people in it.
  • Mentoring agreements that set program length, meeting cadence and goals, with automatic pulse surveys, monthly discussion topics and evaluation requests.
  • Mid-program and final surveys you write yourself, with results downloadable as a spreadsheet for your board.
  • Goal setting and progress tracking for every pair, plus logged meetings and mentoring hours.
  • Group mentoring and Collaboration Spaces for cohorts, affinity groups, committees and peer circles.
  • Courses, events and a resource library, including your own onboarding recordings and mentor training.
  • Dashboards and custom reports you can export for your board, your national office and your annual conference.
  • iOS and Android mobile apps, English, French and Spanish, and your association’s own branding.
  • Integrations with Zoom, Microsoft Outlook Calendar and Teams, and Google Calendar, plus single sign-on (SAML, OAuth) on the Enterprise plan, and two-factor sign-in.
  • Lexa, an AI mentor members can talk to between meetings, and AI Admin, which shows program health and drafts member messages for your team to review and send. People make every decision, and AI Notetaker keeps relationships on track with what they commit to.

Program Director, Sam & Devorah
"As the Program Director of a teen mentoring program, I have found MentorCity to be a valuable resource that prioritizes the safety and confidentiality of its users. MentorCity ensured our mentors and mentees were able to connect on a secure mentoring platform, giving parents/caregivers a peace of mind about these interactions. The extra safety precautions also provided us the opportunity to expand our programming to create additional connections with youth and young adults across the US, such as themed discussion threads, affinity groups, and weekly virtual hangouts. Brian helped us continually customize the platform to meet the needs of our growing program. It's evident MentorCity cares about developing a genuine connection with its customers and supporting them every step of the way."

Build Your Organization - MentorCity

FAQ:

Yes. MentorCity's association mentoring software lets you run as many programs as you need inside one account, for example one per chapter, a spring and a fall cohort, a women-in-leadership track and an exam-prep track.

Each program has its own sign-up questions, matching rules, surveys and reports, so chapter data never mixes, while the national office can see every program. When you start the next cohort, we copy your profile fields, surveys and consent page across so you are not rebuilding from scratch.

Either works on MentorCity, and associations can choose both.

Self-directed matching suits associations whose volunteers have little time and whose mentor pool fills quickly: members browse profiles and request a match, and you can cap how many mentees each mentor takes.

Admin-led matching suits associations where mentors register slowly and the committee wants the whole pool before pairing. You keep registration open, turn off member search, and when it closes, Speed Matching proposes pairs on your criteria for your committee to review and confirm.

You can also combine the two by doing self-directed matching for a couple of weeks and then finish the matches with admin-led matching.

Yes. Many association leadership teams are also potential mentors but do not want to be matched in the first round. You can mark leaders so they do not appear in search results or in Speed Matching suggestions, import them with no mentor or mentee role so they are not sent participant surveys, and add them to the pool later if you need more mentors.

MentorCity pricing for associations and chapters is based on the number of participants in your program, so a chapter launching with 100 members pays for the 51 to 150-member licensing tier, and the price steps up as the program grows.

Associations and nonprofits are quoted on our association-friendly pricing, and every plan includes a dedicated account manager. Book a free demo, and we will give you a figure for your size that you can take to your board.

Yes. MentorCity offers a free 14-day trial. Invite a few mentors and mentees, test matching, messaging, and a video call, and give your VP or board members their own logins. If your board meeting falls after the trial ends, tell us the date, and we will extend the trial so directors can see the platform before they vote.

Our association mentorship platform records every match, confirmed meeting, logged mentoring hour, and survey response, and you can export reports for your board, your national office or your annual conference. Associations typically report the number of active mentors and mentees, relationships formed, meetings held, hours logged, and satisfaction from mid-program and final surveys, all pulled from the platform rather than chased by email.

Yes. MentorCity has mobile apps for iOS and Android, so a contractor, nurse or branch manager can message their mentor, book a meeting, and join a video call from wherever they are. Everything they do in the app is recorded on the same platform your committee uses, so your reports stay complete.

Only the two people in the meeting. In our mentoring software for associations, AI notetaking is turned on per call by the participants who want it, and the summary and next steps it produces are visible to the mentor and mentee in that relationship. Administrators can be given access to meeting recordings for program oversight, and that access can be switched off on request. Members share career and workplace concerns with their mentors, so we built it this way on purpose.

MentorCity runs in English and French, which suits bilingual associations in Canada. If your association needs another language, such as Spanish, ask us during your demo and we will tell you what we can set up for your members.

Member data is hosted in Toronto, Canada, at a SOC 2 Type II data centre, meaning an independent auditor has reviewed its security controls. Data is encrypted in transit with 256-bit SSL and encrypted at rest, and we back it up daily. See our privacy policy for details.

Yes. Our association mentoring software supports private-label programs, so members see your association's name and look, and chapters can carry their own program names and logos. Tell us what you need during your demo and we will show you the options.

Yes. MentorCity integrates with built-in Zoom (with whiteboard and other features), Microsoft Outlook Calendar and Teams video conferencing, and Google Calendar. The Enterprise plan adds single sign-on (SAML and OAuth). See our integrations page for the full list.
