Mentoring Software for HR Associations and Their Chapters
HR professionals spend their working days building other people’s careers. Your association can do the same for them. MentorCity is mentoring software for HR associations that lets a small staff team or a volunteer committee pair members by HR specialty, designation goal, and career stage, then keep every pair on track with scheduled meetings, goals, check-in surveys, and reports your board can actually use. HR bodies such as HRPA and CPHR BC & Yukon already work with MentorCity. Every HR association gets a dedicated account manager, pricing based on the number of participants, and a free 14-day trial your board can test before anyone signs.

Why HR Associations Put Member Mentoring on Software
Members of an HR association already know mentoring works. Plenty of them run programs for their own employers. What they expect from their association is a program that is easy to join, pairs them with someone who has done the job they want next, and respects their time between performance reviews, open enrollment, and year-end.
That is hard to deliver by hand. A chapter collects applications through a web form, a volunteer sorts them by specialty in a spreadsheet, and matches go out by email weeks after the program was announced. By the middle of the cohort, nobody can say which pairs are still meeting. Mentors working toward recertification ask for a record of their hours, and the committee has nothing to send them.
Our HR association mentoring software puts applications, matching, scheduling, goals, check-in surveys, and reporting in one place. Members find a mentor while they are still keen. Committees see which pairs are active and which have gone quiet. Boards get real numbers to bring to the AGM and to sponsors.

Peer Support for HR Practitioners

Most people join an HR association for two things: credentials and connections. A mentoring program delivers the second in a way a webinar never will. New members can request a mentor in their first months, senior practitioners give back to the field that trained them, and your renewal emails finally have something concrete to point to. Some HR bodies charge mentees a small program fee and let mentors join free. MentorCity works with either model.

A national or provincial HR body rarely runs just one program. Local chapters, regional networks, and state councils each want their own intake dates and matching rules. Our HR association mentoring software keeps each one as a separate program inside a single account, with its own reports, while the head office sees activity across all of them. A chapter's spring cohort can be copied for the fall, so nobody rebuilds the setup from scratch.

HR students and recent graduates keep running into the same wall: entry-level roles that ask for two years of experience. Pair student members with practitioners who hire, manage, or coach HR teams. Mentors can review a resume, explain what an HR generalist actually does in a week, and point mentees toward specialties they had not considered. Student members can sit in their own program with lighter time commitments.

Whether members are working toward SHRM-CP, SHRM-SCP, PHR, SPHR, CPHR, CHRP, CHRL, or a CIPD qualification, the best people to help are the ones who already passed. Add a "designation held" field to mentor profiles so candidates can search for it, and run a separate exam-prep program with study groups next to your main cohort. Credential holders benefit too, since SHRM counts taking part in a formal HR mentorship program toward recertification.

A lot of HR professionals arrived from somewhere else: operations, payroll, recruitment agencies, teaching, the military. They know how to work, but not always how HR thinks about risk, policy, and employee relations. Matching them through HR association mentoring software with mentors who made the same switch cuts out a lot of guesswork and gives them someone to call before their first investigation or restructuring.

Total rewards, labour relations, HRIS and people analytics, talent acquisition, learning and development, health and safety. A generalist mentor is useful, but a member trying to move into compensation needs someone who has built a salary structure. Matching on specialty and industry helps members find mentors whose work looks like the role they want, not only a senior title.

The step from HR business partner or manager to director, VP, or CHRO is where many HR careers stall. It asks for financial fluency, board exposure, and the confidence to push back on executives. Senior members who have made that move can mentor one-to-one or lead small leadership circles, and goals written into the mentoring agreement keep each conversation pointed at that next role.

Small employers and nonprofits often have one HR person handling everything from payroll questions to terminations. That person has nobody inside the organization to ask. A mentor or peer circle through your HR association mentorship platform gives them a confidential place to test a decision before they make it, and the mobile apps let them send a message between meetings when an issue cannot wait.

HR practitioners who trained in another country bring real experience but often need help with local employment law, local designations, and how hiring works in a new market. Matching them with mentors who know that market, and giving both sides an agreement with clear goals, helps them get credit for experience they already have. The platform runs in English and French, with Spanish available on request.

Every HR chapter hits the same problem at election time: too few people willing to join the board. HR association mentoring programs are one of the simplest fixes. Pair committee members with outgoing directors and past presidents so the knowledge of how the chapter really runs, from sponsor relationships to conference planning, is handed over before a term ends.

HR is usually the team that delivers layoffs, handles complaints, and walks employees through hard news, with little support of its own. Peer circles and private discussion spaces give members a place to talk that through with people who understand it, whether they are facing a restructuring, a difficult investigation, or a career change of their own.
Let Members Choose Their Mentor, or Let Your Committee Match Them
HR people tend to have firm views on how matching should work, and your association should not have to drop its approach to fit a piece of software. Our mentorship platform for HR associations supports both methods, and you can choose a different one for each program.
With self-directed matching, members build profiles, browse mentors by specialty, designation, industry, and years in HR, and send requests. Mentors accept or decline. One provincial HR association runs its program exactly this way. Participants get about a week to set up their profiles, then roughly three and a half weeks to find and accept a match before a four-month mentoring period begins. Each mentor can take up to three protégés, and each protégé has one mentor per cohort. The committee sets those rules once and the platform enforces them.
With admin-led matching, registration stays open and member search stays hidden. When intake closes, Speed Matching suggests pairs based on the rules you choose, such as specialty, industry, or availability, and your committee reviews every suggestion before anything goes out. Board members and committee leads can be kept out of the pool entirely. Matching that used to eat several of a volunteer’s weekends becomes a review the committee can finish in one sitting.
Support That Fits Around the HR Calendar
The volunteers who run HR association mentoring programs are HR practitioners themselves. Their busiest weeks are the same as everyone else’s in HR: open enrollment, year-end, performance cycles, and the week after a reorganization.
We plan your launch around that. Your account manager helps you pick intake dates that avoid your members’ peak seasons, then takes on the setup work: importing members, building specialty and designation lists, writing profile questions, and copying surveys and consent pages from one cohort to the next.
When a chapter lead logs in at night or on a weekend to fix something, they are not left waiting for days. Questions get answered quickly, often with a short screen recording that shows exactly where to click.
Members can also prepare before their first meeting. MentorCity founder Shawn Mintz created From Here to There in 90 Days, a free course on getting more out of a mentoring relationship, and it comes with an HRPA certificate.
A Free Trial Your HR Association's Board Can Test
HR leaders evaluate software for a living, so expect your board to want to click through it before approving anything. The free 14-day trial gives board members their own logins. They can create a profile, send a match request, book a meeting, and open a video call the same way a member would. If the trial would end before your next board meeting, we extend it so the decision rests on real use rather than a sales deck.
Pricing for our mentoring software for HR associations is based on the number of participants in your program, so a chapter launching with 40 members does not pay for 400. Your board can budget for the first cohort and see what growth will cost before committing.
What Our HR Association Mentorship Platform Includes
- Flexible matching: self-directed, admin-led, or both, filtered by HR specialty, designation, industry, and years of experience, with a preview before matches go live.
- A program for every chapter: each chapter, region, or student group gets its own rules, surveys, and reports under one association account.
- Messaging, discussions, and video: private messaging, discussion forums, built-in video calls, and optional AI meeting notes that only the pair can read.
- Mentoring agreements: pairs agree on length, meeting frequency, and goals, and the agreement then sends pulse surveys and evaluation requests automatically.
- Check-in and end-of-cohort surveys: your own questions, with spreadsheet export for the committee.
- Goals and logged hours: each pair tracks goals, meetings, and mentoring hours, which helps members keep records for recertification and CPD.
- Group mentoring and Collaboration Spaces: for leadership circles, specialty groups, student cohorts, and peer support.
- Courses, events, and resources: host mentor orientation, mentee guides, and your own program materials.
- Board and sponsor reports: dashboards and custom exports for your board, national office, and annual conference.
- Mobile apps: iOS and Android in English, French, and Spanish, carrying your association’s branding.
- Integrations: Zoom, Outlook, Microsoft Teams, and Google Calendar, two-factor sign-in, and SSO on the Enterprise plan.
- Lexa and AI Admin: Lexa gives members an AI mentor to work with between meetings, and AI Admin shows program health and drafts messages for your staff to review and send.

FAQ:
Yes. One account in our HR association mentoring software can hold as many programs as you need, each with its own matching rules, profile questions, surveys, and reports. Chapter data stays separate from other chapters, while your national or provincial office can see every program. When a new cohort starts, you can copy the setup of an earlier one.
That depends on the credentialing body, which sets its own rules. SHRM, for example, lists participation in a formal HR mentorship program as a qualifying recertification activity. MentorCity records each pair's meetings, mentoring hours, and goals, and you can export those records, so members have the documentation they need when they submit a claim.
Either works, and you can combine them. Self-directed matching suits associations with few volunteers to spare, and you can cap how many protégés each mentor accepts. Admin-led matching suits programs where you want to balance specialties or where mentor sign-ups arrive slowly. Speed Matching suggests pairs and your committee approves them.
Yes. Leaders can be hidden from member search and from match suggestions, and you can import them without a mentor or mentee role so they do not receive participant surveys. If someone on the board later wants to mentor, you can add the role at any time.
Pricing is based on the number of participants. A chapter with 100 mentors and mentees, for instance, would fall in the 51 to 150 participant tier. Associations receive association-friendly pricing and a dedicated account manager, and you can get an exact quote during a demo.
Yes. You get a free 14-day trial, and board members can test matching, messaging, and video calls themselves. If your board meets after the trial ends, ask us and we will extend it.
MentorCity tracks matches, meetings, mentoring hours, goal progress, and survey responses. You can export reports for board meetings, sponsor updates, and your annual conference. HR associations usually report active participants, relationships formed, meetings held, total mentoring hours, and participant satisfaction.
Only the mentor and mentee in that relationship. Our mentoring software for HR associations keeps notes private by default. Participants switch notetaking on for each call. Administrators can access recordings for program oversight, and that access can be turned off on request, which matters when members are discussing confidential workplace situations.
Member data is hosted in Toronto, Canada, at a SOC 2 Type II data centre. It is encrypted in transit and at rest and backed up every day.
The platform runs in English and French. If your members need another language, such as Spanish, we can discuss it during your demo.
Yes. MentorCity supports private-label programs, and each chapter can use its own name and logo.
Yes. It connects with Zoom, Outlook Calendar, Microsoft Teams, and Google Calendar. SAML and OAuth single sign-on are available on the Enterprise plan.
